5 Minimalist Productivity Tools for Your Side Hustle (9-5 Friendly)

If you've ever spent 45 minutes setting up a new productivity app, and zero minutes actually working on your side hustle - this one's for you.

I've been there. I used to think the right tool would unlock everything. The perfect planner. The right project management software. The ideal editing suite. So I'd buy it, set it up beautifully, and then…spiral into more setup instead of more action.

Truth is: complex systems don't make you more productive, they give you something to manage instead of your time.

When you're balancing a 9-to-5 and a side hustle, you don't have room for a steep learning curve. What you actually need is a stack that's simple, cheap, and effective.

The Problem With "More Tools"

One of the biggest pain points I hear from my clients over and over again is information overload. Not just content overload - tool overload. They're spending all their energy managing their systems instead of building their business.

Does this sound familiar?

  • You have notes in three different apps

  • Your ideas are in voice memos you never revisit

  • Your to-do list lives in four places and none of them talk to each other

  • You subscribed to three tools this year that you're too overwhelmed to actually use

The fix isn't working harder or being more organized by nature. The fix is fewer, better tools - what I call a minimum viable stack.

What a Minimum Viable Stack Actually Looks Like

I run my entire side business - scheduling, content creation, project management, email marketing, and sales - using just five tools. Not fifteen. Not a different tool for every task. Five.

And these aren't tools I'm recommending because they sound impressive. They're the ones I actually open every single week.

Here's what they cover:

  • My central nervous system - where I manage time, storage, and client-facing scheduling (and no, I don't pay for a separate booking tool)

  • My second brain - where I close the mental tabs, manage projects on a Kanban board, and never start from a blank page

  • My research assistant - the AI setup I use when brain fog hits at 6pm and I still need to write an email or plan a video

  • My all-in-one business engine - the tool that replaced my email platform, my funnel builder, and my course host in one place with zero transaction fees

  • The tool that saves me hours per video - this one scares people at first, but once it clicks, you'll never edit video the old way again

I go deep into all five - including the exact setup, how I use each one weekly, and my honest takes on what to watch out for, in my latest YouTube video.

The Mindset Shift That Changes Everything

Before I wrap up, I want to give you something tactical you can use today.

When I think about minimalism in tools, my goal isn't to have less - it's to have less friction. That's a different thing entirely.

Friction is what happens when your tool requires more setup than output. When you spend Sunday night organizing your Notion instead of doing the actual work. When you're researching features instead of shipping things.

The question to ask yourself about every tool in your stack: Does this reduce friction or create it?

If it creates friction, it goes, no matter how many YouTube tutorials convinced you it was essential.

One Practical Thing You Can Do Right Now

Open whatever app you use most for productivity or planning. Ask yourself: how many tools am I paying for (in time or money) that I haven't genuinely used in the last two weeks?

That number is your declutter list.

You don't need to overhaul everything today. You just need to start with your real minimum - the tools you actually use - and build from there.
